How to indicate people associated with the data collection

The Who tab provides fields to indicate people responsible for collecting or processing the data as well as the ability to acknowledge other contributor or sponsors.

At least one person must be designated as an “Author” (usually the Lead Researcher).

The submission may have multiple “Authors” and “Co-authors”. These roles will appear in the data set citation.

At least one person must be designated as the “Point of Contact” for enquiries about the data.

 

 

Instructions

In a new record, the first time the Who tab is opened, ‘Point of contact for dataset’ is selected by default and blank fields are displayed ready for input.

All Authors and Co-authors must be added under the “Responsible parties for creating the dataset”.

If you enter an Author as a Point of contact, copy the entry to the Responsible parties section using the [+Add person] function.

Complete the following fields in the Who tab:

Role

Select a role from the list.

Mandatory. The list of roles is defined by ISO.

Contact name

Select a name from the list

Organisation

Select an organisation from the list

go to How to Enter details for a new organisation below.

Mandatory.

Other credits

Go to How to acknowledge other sponsors or contributors below.

 

  1. If the same contact person is designated as the 'Point of contact for dataset' and a Responsible party, then click the [ + Add person ] button under ‘Responsible parties for creating the dataset’ and select to copy the person from the list.

 

How to enter details for a new contact

Complete the following fields in the Who tab:

Given name

Type the first name of the contact person.

Mandatory for new contacts.

Surname

Type the surname of the contact person.

Mandatory for new contacts.

Email address

Type the contact email address for the contact person.

Mandatory for new contacts.

ORCID ID

If the contact person has an ORC ID , type the 16 digit identifier.

 

 

How to enter details for a new organisation

Complete the following fields in the Who tab:

Organisation

Type the name of the organisation.

Select the “Create” option that displays below the input field.

 

Street address

Type the delivery address details for the organisation.

TERN prefers to provide the address that would be given to a taxi driver or parcel courier delivering to the office. If you do not have these details provide the postal address.

Phone number

Type the phone number for the organisation, including the country and area code. Example,
+61 3 4567 3322

 

Fax number

Type the fax number for the organisation, including the country and area code.

 

  1. For each additional person:
    Click the [ + Add person ] button under ‘Responsible parties for creating the dataset’ Click [ New Person ]and repeat from the beginning.

 

How to acknowledge other sponsors or contributors

Click [+ Add new] to open the Add Credit window from the Who tab, and complete the following step:

Type details to acknowledge project sponsors or funding organisations.

Individuals can also be identified as a contributor, funder, sponsor etc using the role field.

Click [Done] to store the input, or [Cancel] to ignore the input. The Add Credit window closes.

 

Click the [Save] button to store the changes to the record (top right above the tabs).
